Useful Shortcuts to Save Time in Gantt Chart View

You can save time in Project using these great keyboard shortcuts in the Gantt Chart view. These will also work in other task views and in most versions of Project.

1. Display the Task Information Dialog Box

Click in a task and press Shift + F2 to display the Task Information dialog box.

2. Edit a Task

Click in a task and press F2.

3. Indent Tasks

Select the tasks you wish to indent and press Alt + Shift + right arrow.

4. Outdent Tasks

Select the tasks you wish to outdent and press Alt + Shift + left arrow.

5. Show / Expand Subtasks

Click in a task and press Alt + Shift + plus sign (+).

6. Hide / Collapse Subtasks

Click in a task and press Alt + Shift + minus sign (-).

7. Show / Hide All Subtasks

Click in a task and press Alt + Shift + asterisk (*).

8. Link Tasks

Select the tasks you wish to link and press Ctrl + F2.

9. Unlink Tasks

Select the tasks you wish to unlink and press Ctrl + Shift + F2.

10. Display the Gantt Bar for the Selected Task

You can display the Gantt bar for the current task by clicking in the task and pressing Ctrl + Shift + F5. This has also been called Go to Selected Task or Show Selected Task.

There are many other shortcuts in Project, but these are some of the most useful, particularly in Gantt Chart view.

To navigate Microsoft Project better and to keep track of various project variables, it is important to get familiarized with useful keyboard shortcuts. What Microsoft Project Is Used for?

Among the many uses of Microsoft Project, you can use its features to execute a wide variety of projects. These include sprint projects, waterfall projects, software development plans, budget sheets, market research schedule, annual reports, wedding planners, and even wine-tasting fundraisers.

Any full-fledged project is assembled using tools such as Gantt charts, network diagrams, resource sheets, task boards, team planners, apart from collaboration over email, SharePoint, OneDrive, and Microsoft Teams. All Microsoft Project data files are saved in .mpp format.

The above and following screens are for Microsoft Project’s Version 2105 which was released on May 27, 2021. Non-subscription versions of Project 2019, 2016, or 2013 are also available, and they are all backward-compatible.
