Tokio Marine America and TM Claims Service: Insuring Children’s Happiness

The Pasadena branch of Tokio Marine America, a property and casualty insurer, and its sister company, TM Claims Service, work hard to insure companies against loss.  Yet the team of 250 employees in the Pasadena location is also committed to another project:  putting smiles on the faces of the children who live at Hillsides Residential Treatment services. Each year the office has provided the children with toys during the holidays and school backpacks in the fall. The company has also hosted several book drives for Hillsides and donated money raised from unique in-house fundraisers – such as employees paying for the privilege to wear jeans on Friday.

Peggy McCarte, vice president of underwriting operations for Tokio Marine America, discovered Hillsides in 2001 when she and a couple of coworkers googled local charities.  Hillsides popped up, and a relationship was established, driven by their desire to help children in need.  Luckily for Hillsides, the employees at Tokio Marine’s Pasadena location are competitive.  Every August, each department in the Pasadena office is asked to donate one full school backpack.  But each department tries to outdo each other and ends up doubling the amount of backpacks with enough left-overs to donate extra supplies to the teachers.  Another stroke of good fortune for Hillsides is that Tokio Marine’s Pasadena office is located kitty-corner to a Target store, making holiday shopping for the children of Hillsides very convenient for Tokio Marine employees.

Many providers are willing to bill us directly, and we are happy to work directly with the provider. The provider should submit to us original itemized bills. You, the patient, will still need to submit to us a completed "Claimant's Statement and Authorization" form.

If the provider requires you to pay for medical treatment at the time of service, you will need to file a claim for reimbursement. When seeking treatment, please ensure that you provide your name in the same format as provided for your insurance policy. You can check your name format on your fulfillment documents, ID card, or in Client Zone. At the time of service, ask your medical provider for an itemized bill with the following information:

  • Provider name and address
  • Provider tax ID (if U.S.-based)
  • Your name, date of birth, and certificate ID number
  • Itemized charges
  • DX (diagnosis) code and CPT (Current Procedural Terminology) code (these are the codes your physician's office uses to tell our claims examiners which procedures, diagnoses, and services you received during your visit)

Also request your receipt for the payment and your complete medical records from the visit. You will send the itemized bill, medical records, and receipt directly to us, along with a completed "Claimant's Statement and Authorization" form.

NOTE: For plans that offer a coinsurance waiver for expenses incurred in-network, the provider must bill expenses directly to us.

Job Purpose:

Investigation, examination, negotiation, and settlement of credit insurance claims within established guidelines and parameters set. Provide administrative support and information collection to the Claims Team.

Full training for the role will be given with no previous experience in a similar role required. Training will be provided both internally and externally along with support being provided towards aligned professional qualifications.

Key Responsibilities:

  • Recording and / or monitoring insolvency dates forming the claim event.
  • Mathematically checking claims
  • Calculating and entering provisions
  • Confirming insolvency events and setting up spreadsheets to collect data
  • Liaison with Insolvency Practitioners and external stakeholders
  • Examining and assessing claims submitted including making settlement within agreed authority schedules and specified timescales with advance notice to sales staff where required

  • Input and retrieval of data on bespoke database including basic Excel spreadsheet management
  • Monitoring salvages by use of diary system and spreadsheet recording
  • Reporting (where appropriate) concerns to Risk / Underwriters for limit / cover reviews
  • Informing management of potential large losses and recording same on department Trawl spreadsheet
  • Calling customers to collect data
  • Setting up and paying claims using bespoke IT system
  • Chasing customers for information and refunds
  • Handling general email and telephone queries
